Eurocycle Adventures - Terms and Conditions


 1. CLASSIFICATION

Your tour booking is with Eurocycle Adventures who are registered at the following address:

51 Rawcliffe Croft, York, North Yorkshire, England YO305UW

a) The words “we”, “us”, the “Company” or “our’’ refers to Eurocycle Adventures.

b) The words “you”, “your”, “yourself” or “anyone” refers to the client/s purchasing the service from Eurocycle Adventures.

2. YOUR TOUR PARTICIPATION AGREEMENT

By booking and participating on our tour, you agree to the following:

Your Health and Fitness

You agree that you have adequate physical fitness to undertake the tour and have no known health conditions that may prevent you from undertaking or completing the tour. Should your health status change either prior to or on the tour you agree to inform us as a matter of urgency.

Tour Grading, Intensity and Terrain

You confirm that you have read and understood the physical intensity of the tour including the grading level of the tour and expected terrain. You agree that the tour is suitable for your requirements.

General Behaviour

While on tour you agree to act in a responsible way that minimizes risk to yourself and others including the general public. Additionally, you agree to inform cycle tour leaders where possible should you identify any behaviour or incident that may endanger yourself or others.

Cycling Rules

You agree to abide by the following:

a) Cycle helmets are compulsory.

b) Suitable clothing and footwear must be worn. Footwear must be either trainers or cycling shoes.

c) Your bike must be fitted with lights in case of low light conditions.

d) Wearing headphones is not allowed whilst cycling.

e) Follow the guidance of tour leaders

Your Cycle Condition

If using your own bike on tour you agree that your bike is suitable for the expected terrain and your bike is in suitable condition with no obvious mechanical faults. Additionally, you agree to inform the cycle tour leaders as a matter of urgency should a defect become apparent with your bike while on tour.

You agree to supply the following information prior to the start of the tour:

Third Party Suppliers

Please note, Eurocycle Adventures use third-party suppliers to provide equipment, accommodation, and refreshments. Third-party suppliers include hotels, guest houses, campsites, restaurants, vehicle hire and bike hire companies. These suppliers are carefully selected by us to enhance the tour experience.

Tour Information Pack

Please note, further guidance will be given to you prior to the tour in our tour information pack, normally sent out at least 10 to 14 days prior to the tour start date.

3. TRAVEL INSURANCE

We strongly recommend that you take out travel insurance that covers you against the cost of assistance (including repatriation) in the event of accident or illness to yourself. Also, check with your insurance provider that tour cycling activities and any other activities you may take part in such as swimming are included in your policy.

We also recommend that your travel insurance policy covers you against the cost and loss or damage of your own possessions. Additionally, your travel insurance policy can cover the cost of you cancelling your tour booking should you need to do so. Please check or get assistance from your travel insurance provider to make sure you have the correct insurance for your requirements.

 

4. YOUR TOUR BOOKING CONTRACT

The tour contract is between us and you and includes the following items:

a) A contract will exist as soon as you pay your first payment (deposit or full amount).

b) When you make a tour booking you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these booking conditions. This means that you are responsible for making all payments due, notifying us if any changes or cancellations that occur, receiving confirmation and keeping your party informed.

c) We request that as a condition of booking with us that you and all members of your party are adequately insured for travel and the tour activities

d) A cancellation fee will be applied should you need to cancel the tour. (See section 6)

e) If we need to terminate the tour you will be notified as early as possible. (See section 8)

5. MAKING A BOOKING AND PAYMENT:

We require full payment for the total cost of the tour from you within 21 days of the tour start date. If you book less than 21 days prior to tour start date paying a deposit in not applicable and full payment is required at time of booking.

Tour payments including deposit and full tour payment are made via our Website: Eurocycleadventures.com* A payment receipt and booking confirmation will be emailed to you. On submitting a payment, you agree that you have read and understood these terms and conditions. For balance payments you will be contacted at least 21 days prior to verify how you need to make the payment.

6. BOOKING CANCELLATIONS BY YOU (NON COVID)

The person that made the booking must put this in writing to us by email should they need to cancel their booking. Because we incur costs in cancelling confirmed bookings, particularly if cancellations occur close to arrival date, you will be charged a cancellation fee. The cancellation fees are as follows:

a) Greater than 35 days prior to tour start date: deposit is refunded minus a £50 cancellation fee. 

b) Between 34 and 22 days prior to tour start date: The cancellation fee is the cost of the deposit. If you have paid in full for the cost of the tour, the difference between the total cost less the deposit will be refunded to you.

c) Between the 21 and 15 days prior to the tour start date the cancellation fee is 75% of the cost of the tour. If you have paid in full for the cost of the tour, then the remaining 25% will be refunded to you. If you have only paid the deposit, we reserve the right to charge your card the remaining balance.

e) 14 days or less prior to start of tour date: The cancellation fee is 100% of cost of the tour. If you have only paid the deposit, we reserve the right to charge your card the remaining balance.

7. BOOKING CANCELLATIONS BY YOU – COVID-19

We agree to waive our usual cancellation fee charges and provide a refund if you need to cancel between 6 and 21 days prior to tour start date for the following reasons:

- if you have to self-isolate due to COVID-19.

- if movement from your area to the destination area is not permitted due to COVID-19

If you need to cancel between 0 and 5 days for the above reasons an admin fee is £100 applicable. You must provide evidence of your COVID-19 symptoms and notify us as early as possible. Normal cancellation terms will apply if we are not reasonably satisfied that you are cancelling for a COVID-19 reason.

8. TOUR TERMINATION

Should we need to terminate the tour due to circumstances beyond our control or tour numbers are not sufficient you will receive a full refund from us. However, we do not give any other financial compensation in such circumstances. Any amendments or cancellation fees you incur from other arrangements you have made with other providers under separate contracts are not claimable from us. We will endeavour to give you as much notice as possible should we need to terminate the tour.

9. TOUR TERMINATION – COVID 19

Should the tour be terminated due to due to the destination area being in full lockdown or for other COVID-19 related guidelines we will offer you an alternative date to undertake the tour or you will receive a full refund for the cost of the tour. However, any amendments or cancellation fees you incur from other arrangements you have made with other providers under separate contracts are not claimable from us.

10. TOUR INTINERARY

The tour itinerary will be sent to you approximately 10-14 days before departure by email. Whilst we endeavour to deliver your tour itinerary as specified at the time of booking, sometimes circumstances beyond our control may prevent us from providing the exact tour itinerary that is advertised. In such circumstances we are not liable for any loss of the advertised elements of the itinerary.

11. ROOM SHARING

If you are travelling alone and do not wish to pay the applicable supplement for a single room, we will, if you wish and subject to availability, match you up with someone of the same sex on a “twin to share” basis wherever possible. If you select a room sold on this “twin to share” basis you will be sharing with another participant on the tour and not have sole use of the room. In such cases we are not allowed to give any details regarding the name, address or phone contact of the parties requesting sharing arrangements. Please note, you must inform us in advance of any medical conditions or personal issues that may negatively impact on someone else’s enjoyment of the trip, for example, snoring – if you do not inform us, then we reserve the right to change your booking to a single room and for you to pay the balance. Note: where a room has been booked for one person only, whether it be a single room or the sole occupancy of a larger room, no other person is permitted to stay in that room, even if there is physically space for that person.

12. PASSPORT, VISA AND IMMIGRATION REQUIREMENTS

Your specific passport and visa requirements and other immigration requirements are your responsibility. You should confirm these with the relevant Embassies and/or Consulates of the destination countries. We do not accept any responsibility if you cannot travel due to you not having the correct documents including passport, visa or any other immigration requirements.

13. DATA PROTECTION

The lead person on the booking must have approval from all other members of the party (and any “emergency contacts”, where applicable) to give consent to our processing their personal information to ensure that your tour runs smoothly. This may include providing your key personal information to specific third-party suppliers we use for organising the tour.

If you have signed up to our newsletters and/or mailing lists, we will send you the information you have requested by email until such time as you wish to unsubscribe.  You may unsubscribe at any time by sending us an email with a request to unsubscribe.

14. HEALTH REGULATIONS

We advise all customers to check what the latest health requirements are for travel to their chosen destination. Please consult your doctor, practice nurse or travel health clinic and/or obtain the relevant health leaflets, for example the Department of Health leaflet “Protect your Health Abroad” from your local Post Office or the Department of Health. 15. LAW AND JURISDICTION

Any dispute, issue or claim regarding your tour booking will be settled in UK court of law. If this provision is not acceptable to you, you must tell us at the time of booking.
